Terms & Conditions
By booking with Keystone Party Rentals LLC (“Keystone,” “we,” “us,” or “our”), the customer (“Renter,” “you,” or “your”) agrees to the following Terms & Conditions. These terms apply to all rentals and are designed to ensure a safe, reliable, and consistent experience for all clients throughout the DMV.
1. Booking & Reservation Deposit
A 20% non-refundable deposit is required to secure your event date and rental inventory. Your reservation is not confirmed, and items are not held, until the deposit has been received.
If the booking is cancelled within three (3) weeks of the scheduled event date, the 20% deposit will remain strictly non-refundable.
2. Final Payment
The remaining balance must be paid in full no later than fourteen (14) days before the scheduled event date.
If the final balance is not received by the deadline, Keystone Party Rentals LLC reserves the right to cancel the reservation. In such cases, the initial deposit will be forfeited.
3. Rental Equipment & Condition
The Renter is responsible for all rental equipment from the time of delivery until pickup.
All items, including but not limited to tents, tables, chairs, linens, and accessories, must be returned in the same condition in which they were delivered.
The Renter may be charged additional fees for items that are:
Lost or not returned
Damaged or broken
Permanently stained or burned
Returned with excessive dirt, debris, or non-standard staining
Missing parts or components
Cleaning, repair, or replacement charges will be assessed based on the condition of the equipment upon return.
4. Proper Use & Safety
All rental equipment must be used only for its intended purpose and in accordance with applicable manufacturer safety guidelines.
The Renter agrees to observe all applicable weight limits and safety requirements. Standing, climbing, or dancing on tables, chairs, or other rental equipment is strictly prohibited.
The Renter is responsible for ensuring that all guests and other individuals using the equipment follow these safety requirements.
Keystone Party Rentals LLC is not responsible for injuries, accidents, or property damage resulting from improper, unsafe, or unauthorized use of rental equipment.
5. Delivery & Setup
The Renter is responsible for ensuring that the delivery location is accessible, safe, and clear of obstructions at the agreed-upon delivery and setup time.
If the delivery site is inaccessible, obstructed, or otherwise unsuitable for setup, Keystone Party Rentals LLC may experience delays and may charge additional labor, waiting, or delivery fees where applicable.
The Renter is responsible for providing accurate delivery information and notifying Keystone of any site conditions that may affect delivery or setup.
6. Missing, Lost & Damaged Items
The Renter assumes full responsibility for all rented equipment from the time of delivery through pickup.
If any equipment is lost, stolen, damaged, or not returned, the Renter agrees to pay the full current replacement value of the affected item. This includes, but is not limited to, broken frames, missing parts, permanent stains, burns, and other damage that prevents the item from being reasonably returned to rental condition.
By accepting these Terms & Conditions and providing payment information, the Renter authorizes Keystone Party Rentals LLC to charge the payment method on file for applicable additional costs, including:
Full replacement costs for lost, stolen, or unreturned items
Repair or replacement costs for damaged items
Additional cleaning fees for excessive dirt, debris, or non-standard staining
Additional charges may be processed upon discovery of the loss or damage or following the post-rental inspection, which may occur within 48 hours of pickup.
Keystone Party Rentals LLC will provide the Renter with a detailed invoice for any additional charges.
7. Indemnification & Hold Harmless
To the extent permitted by applicable law, the Renter agrees to indemnify, defend, and hold harmless Keystone Party Rentals LLC, its owners, employees, contractors, and representatives from claims, liabilities, damages, losses, or expenses, including reasonable attorney fees, arising from the Renter’s use, misuse, or operation of the rental equipment.
The Renter acknowledges that the use of event rental equipment, including tents, tables, chairs, and related items, involves inherent risks. The Renter voluntarily assumes responsibility for these risks and for the conduct of their guests and other individuals using the equipment.
To the extent permitted by applicable law, Keystone Party Rentals LLC shall not be responsible for injuries, property damage, or other losses resulting from the Renter’s misuse, unauthorized use, or failure to follow applicable safety instructions.
8. Acceptance of Terms
By placing a reservation, making a payment, or accepting delivery of rental equipment, the Renter acknowledges that they have read, understood, and agreed to these Terms & Conditions.
Keystone Party Rentals LLC reserves the right to enforce these policies consistently across all reservations.
